Job Description: We are seeking a key member of our Innovation, Strategy and Intergovernmental Relations Department leadership team as our Administration Manager for the City Manager and Mayor’s Office. In this exciting and pivotal role you will report to the General Manager and oversee a hardworking Administration team of 3 employees responsible for providing high calibre administrative support and executive assistant services to the City Manager, Deputy City Manager, Senior Management Team, the Mayor and 8 City Councillors.

In this fast-paced role, you will have the ability to jump from one task to another seamlessly as you navigate the diverse nature of the City Manager and Mayor’s office. Some of your main responsibilities include leading a successful team in managing multiple schedules and calendars; coordinating internal and external appointments, meetings, and civic functions with representatives across all levels of government, industry and development groups and citizens; coordinating twice weekly Senior Management Team meetings, Intergovernmental Affairs Committee meetings; as well as overseeing several internal budgets, processing and editing reports, making travel arrangements and providing prompt and accurate information in response to public inquiries.

This position requires absolute confidentiality in all matters of a sensitive or political nature. You will exercise considerable independence of action and judgment in organizing work routines and when interacting with City officials, department leaders, employees and the general public. Your proven skills, knowledge and abilities as an administrative professional, along with your experience in a political environment and election cycles will make you an asset to the team. Your superior team leadership, organizational, time management and communications skills will allow you to excel in this fast paced dynamic environment with numerous stakeholders and competing priorities. Your confidence, flexibility and quick thinking will assist you in dealing with the daily challenges and opportunities that come your way. Your ability to build and manage relationships with all levels of the organization will be essential as you establish yourself in this exciting and rewarding role.

As the Administration Manager you will possess:

 Diploma in Office Administration, Business Administration or related field.
 5 years’ experience at a senior executive assistant level with a minimum of 2 years in a leadership role, or an equivalent combination of education and experience.
 Advanced skills in Microsoft Office - including Word, Outlook, Excel, & PowerPoint.
 Demonstrated experience in team leadership.
